# Student Registration

Steps to take to register for the tutoring service

## Step 1

Go to the `Register` tab located in the menu bar on TKE's homepage, and click on `Student Registration`

## Step 2

Fill in the form and click on the `Register` button. Make sure you agree to the `Terms and Conditions`

## Step 3

Once the registration is complete you would see the following message:

"Thank you for registering. Before you can login we need you to activate your account by clicking the activation link in the email we just sent you."

## Step 4

Go to your email, and click the activation link.

## **Step 1**

Sign in to your account.

If you do not have an account, you need to register first. View the Student Registration page for more information.

## Step 2

Click on `Schedule Tutor` in the navigation menu at the top of the screen.

## Step 3

1. Select `Service` from the drop-down menu.
2. Select `Employee`. **NOTE:** If no `Employee` is selected, the application will select a tutor associated with the service for the customer.
3. Select `Continue`

## Step 4

Select `Duration` from the drop-down menu.

## Step 5

1. Select appointment `Date`
2. Scroll down and select desired `Time`
3. Select `Continue`

## Step 6

1. Select `Repeat Appointment` option.

## Step 7

1. Select `YES` radio button.
2. Select `Continue`

## Step 8

1. Verify appointment information.
2. Press `Back Button` to make any changes, if necessary.
3. Select `Continue` to be redirected to checkout.

# TKE Points

Description of TKE points and how to purchase them.

## What are TKE Points?

TKE Points are one method to pay for tutoring sessions. 1 TKE point = $1

## How do I get TKE Points?

There are multiple ways to get points.

* You can buy points. They will be in your account, and you won't need to use PayPal or a credit card to sign-up for tutoring sessions if you have enough points to pay.
* They can be given to you by TKE staff. For example, if a tutoring session gets canceled unexpectedly and you'd like a refund to sign-up for another tutoring session. TKE staff can give you TKE points in the amount so you need, so you can sign-up for another session without paying again.


# Purchasing TKE Points

Instructions on how to purchase TKE points.

1. Navigate to `Account`&#x20;
2. Select `Buy Points`

1. Enter number of points to purchase.
2. Select `Add to cart`

The user has several options to purchase TKE points:

1. Review order and select `Proceed to Checkout`
2. User can purchase points using PayPal by selecting `PayPal`

1. Enter all required fields
2. Select `PayPal`

# TKE Tutor Onboarding Video

# Tutor Registration

Steps to take to register to be a tutor

## Step 1

Go to the `Register` tab located in the menu bar on TKE's homepage, and click on `Tutor Registration`

## Step 2

Fill in the form and click on the `Register` button. Make sure you agree to the Terms and Conditions

## Step 3

Once the registration is complete you would see the following message:

&#x20;"Thank you for registering. Before you can login we need you to activate your account by clicking the activation link in the email we just sent you."

## Step 4

You will receive an email asking you to activate your account. Click on the activation link.

## Step 5

Once the registration process is complete, you would have access to your profile on the website. You would then wait for the TKE staff to verify you as the employee before assuming the role.&#x20;

## NOTE: Appointment Panel sign-in and "Restricted Content" in menu

After logging in for the first time, you may see another Sign-in panel on the tutor dashboard screen like this:

You may also see a menu item that says `Restricted Content` like this:

It is normal to see this when you first create your account. You are seeing these because a TKE admin has not verified your account and added your account to the scheduling system. After your tutor interview, your account will be verified and added to the scheduling system.

Once you have been verified, the `Restricted Content` will now say `Student Directory` and you should be allowed to view the Student Directory like this:

Once you have been added to the scheduling system, you should be a able to reload the Tutor Dashboard page and see something like this:

# Tutor Overview

What the tutors view once they login

On the menu bar you will see the following links: `Messages`, `Account`, `Tutor Dashboard`, `Tutor Resources`, `Tutor Directory` and `Student Directory` and the `Donate` button.

## **Messages**

Users will be notified of new messages here. Number of unread messages will be indicated as well.

## Account

The account link consists of two sub-menus, Profile and Logout. Users can customize their profiles by: Updating Tutor & Contact information. The subject tab allows tutors to select subjects they are interested in teaching. The grade tab shows the range of grade levels. Tutors can select which grades they are interested in. Additionally, tutors may upload their resumes in the resume profile tab.

## **Tutor Dashboard**

Tutors can view their messages. Furthermore, tutors can check for any upcoming appointments and events. Tutors can manually add a new appointment by selecting New Appointment. Tutors can set their working hours and request days off by clicking next to their email address drop arrow and select `My Profile.`

## **Tutor Resources**

Tutors can access approved resources to aid in teaching difficult subjects.

## **Tutor Directory**

A list of tutors and their profiles. Tutors can send messages to other tutors.

## **Student Directory**

A list of students and their profiles. Tutors can send messages to students, if  necessary.


# Setting Up Your Services and Availability

## Employee Profile

Tutors must log into the main site to access the Tutor Dashboard. On the dashboard, tutors can select the arrow next to their email address to edit or update their Employee Profile.

## Details

Tutors can fill out their personal details. The first and last names forms are required.

## Services

Tutors can pick their grade level(s).

## Working Hours

Tutors can pick their working hours.

Working Hours are assumed to be the same for every week during the booking window, which is currently 60 days. You can override the working hours with the `Days Off` and `Special Days` sections

## Days Off

Tutors can pick their days off.

Days Off allows you to set specific dates you would like to be unavailable for scheduling a tutoring session. Settings in `Days Off` will override settings in `Working Hours`.

## Special Days

Tutors can pick a special day in case a student needs extra help.

While `Working Hours` lets you set when you are generally available every week, Special Days allows you to pick specific dates and time you want to be available for tutoring. This can be useful if your schedule is hectic or when you want more manual control over your availability.

Special Days can also be useful when you would like to set up a tutoring session, outside of your Working Hours availability.&#x20;


# Tutor Account

Profile information under the Account heading.

## Subjects

Tutors must fill this out so students can search for them. Select `Subjects` -> `Edit` and add subject(s).

## Grades

Tutors can pick their grade range.&#x20;

Tutors can edit their profile by selecting the gear wheel icon -> `Edit Profile`

## Edit Tutor Account&#x20;

Tutors can edit their tutor account by selecting the gear wheel icon -> `My Account`&#x20;

Some of the options tutors can edit include: changing passwords, changing privacy settings, connect/disconnect from `Social Connect` (Google, Facebook, LinkedIn login) and request for account deletion.

# Google Calendar

Connect Google Calendar to the scheduling system

## How it works

With Google Synchronization, you can sync your appointment schedule with Google Calendar. Each appointment booked will be added to your Google Calendar with the student added as a participant.

For Virtual Sessions this will also automatically create a Google Meet session and invite the student.

Any times marked as busy on your Google Calendar will show as unavailable to students for scheduling, even if you've set it as available in your availability settings in the `Tutor Dashboard`.

You can select which calendar you would like to be synced after you have linked your Google account.

### Important note about rescheduling

Rescheduling, canceling, or deleting appointments **MUST** be done in the `Tutor Dashboard`.

Changes made to appointments directly in Google Calendar ***are not*** reflected in the Tutor Dashboard. So if you do need to change an appointment, use the Tutor Dashboard.&#x20;

Changes made to appointments in the `Tutor Dashboard` will sync back to Google Calendar.

## Linking your Google Calendar

### Step 1

Go to `My Profile` in the `Tutor Dashboard`

### Google Warning

If you are not using an `@tkenonprofit.org` email address, you may see a warning during the Google sign in process.

You can ignore this warning by clicking on `Advanced` , then `Go to tkenonprofit.org`&#x20;

### Step 4

Grant tkenonprofit.org access to your Google Calendar

Once access is granted you should be taken back to the `Tutor Dashboard`

You tutor profile should now show that you are signed in with Google

### Selecting the calendar

In your Tutor Profile you can click the `Google Calendar` dropdown to select a which calendar you would like to be synced

If you change your calendar, make sure to click on `Save Changes`

# Messages and Notifications

Tutors can send messages to students to set up a location to meet.

## Contacting a Student

A tutor can contact students via the `Student Directory`.

Find the student in the directory and select `Message`

## Messaging a Student

After selecting `Message` the following dialog box appears. Message the student to agree upon a location for the tutor session.

## Notifications

Users can select the bell icon at the bottom of the screen to view their notifications.
